WHETHER YOU ARE A NEW INVESTIGATOR OR NOT, PLEASE MAKE SURE you follow these instructions to ensure equal chance for you and your colleagues to obtain participants. Compliance with these guidelines will be monitored to ensure proper use of the Subject Pool and compliance with our CORIHS approval. *Please give copies of this to your RAs.* ========================================================================= NOTE: The Psychology Department subject pool and the use of our account on Sona Systems is limited to ONLY Psychology department personnel. I. Steps for getting started: 1) Get CORIHS approval and design your experiment to follow the guidelines stated in that approval. 2) Get a Sona Systems account by seeing the Subject Pool Coordinator. 3) Read and understand all requirements in this protocol before setting up appointments with subjects. Please also read the Guidelines for Students. ========================================================================= II. Rules for Use of the Subject Pool: * Posting Times: All sessions posted must be shown in half-hour increments only, meaning 30 minutes, 60 minutes, 90 minutes, etc. For example, if your study will last 45 minutes, it must be posted as 60 minutes in length, because it is more than hour but no more than 1 hour. If your study requires 1 hours, it must be posted as 90 minues and issue 1.5 credits. You may not indicate in any way in the description that your experiment will last less than the amount of time that it is slated for. * Description: Please refrain from using attractive words, such as fun, quick, easy, short, etc. This is our attempt at keeping all experiments equally likely to get subjects. Also, nowhere in the Description may there be any descriptions about time. You may not say one hour or less or Max time is or "This experiment requires half an hour". You may only describe criteria for eligibility and what the student will be doing. Time/duration of the session will be visible when the student views the appointment times. (If your study requires two sessions, you may include that.) * Number of credits in the description: The number of credits will automatically be listed next to the experiment title when students view the listing of experiments. If you have a multiple part experiment in which students will return at another time, it is important to explain in the description how many credits they will earn after part one, and after part two. You can choose for a student to receive all credit only after both parts have been completed. * Guideline for Issuing Credit: Credit is given in increments of .5. If your experiment lasts hour, you should issue credit. If your experiment lasts more than hour but no more than 1 hour, 1 credit is given. Etc. **** If you, the researcher, fail to show up to an experiment (and did not notify subjects 24 hrs in advance), the subjects are entitled to receive the credit value of the experiment up to a maximum of 1 credit. (If your study is worth more than one credit (say 1.5, or 2 credits), subjects should only receive 1 credit when you miss the appointment. See below Canceling, showing up, etc * Clearly mark your lab! Please put a clear, obvious sign on your door for students to find you. Plenty of subject time/Subject Pool credits have been lost because of students getting lost in Psych A or B, or because someone was late. * * *ATTENDING, CANCELLING, SHOWING UP, etc* * * * Both of you showing up. Once the participant has signed up for your experiment, you both have agreed to be at that place at that time. You or the participant can cancel out of this agreement 24 hrs in advance by canceling in Experimetrix (or, the subject can call your contact number). Once participants arrive, they are allowed to withdraw at any time, without penalty other than not receiving full credit. This is part of CORIHS approval. They should receive credit for any hours that they have completed. Questions about this please see the Subject Pool Coordinator. If the participant fails to show up at the scheduled time (and did not notify you at least 24 hrs in advance), they must be penalized 1 credit. This should be done using the online scheduling system. Experimenter Canceling. IF YOU MUST CANCEL an appointment, you must cancel at least 24 hours in advance, AND notify participants via email. (The experiment scheduling system sends them an automatically-generated email, but students personal emails often times reject this mail as spam -- AOL and MSN for example. So send them a personal email.) If you must cancel WITHIN the last 24 hours, that subject is entitled to receive a credit (for hour experiments) or 1 full credit (for all other length experiments). Canceling last minute should not happen often! Each semester we see plenty of investigators doing this (scheduling numerous times, then something comes up and they cancel). This is a drain on the subject pool, and investigators who show a pattern of this will have access to the Subject Pool revoked. Be on time! If you, the experimenter, fail to show up within 5 minutes of start time, the participant receives either a half-credit (for half hour studies) or 1 full credit (even if your study was originally worth more credits). Subjects have been instructed to leave their names and numbers on or under your door in the event that you did not show. *Giving our subjects credit because experimenters did not show up (or cancelled last minute) decreases everyones chance to get data. You are responsible for members of your lab being on time. Therefore, experimenters who show a pattern of being late to appointments, particularly those who do not promptly contact the subjects they missed, will be given a written warning. If it continues, subject pool privileges will be suspended or revoked. Restrictions: If you have listed a restriction in your experiment description and someone signs up who should be excluded by that criterion, you do not owe that person any credit. INCLEMENT WEATHER CONDITIONS: If classes are in session, experiments run also. If the University cancels classes, subjects are not required to attend. You may still run experiments of course, but do not penalize students for not showing when classes are cancelled. (632-SNOW for status of University closing) --------------------------------------------------------------------------------------------------------------------------------- *****CONDUCTING EXPERIMENTS ***** 1. LOG BOOK Important!! Keep an ongoing list of every participant you gave credit to. Sometimes we need to verify participation outside of Sona Systems. Keep a list of: Name --- ID# --- Date --- # of credits earned. 2. Sign the subjects yellow card. You can get them from Subject Pool Coordinator. 3. DEBRIEF EACH PARTICIPANT. Participating in experiments should be educational for students. This is a premise of the Subject Pool. You are responsible for debriefing your subjects so they understand the purpose/goals of your study. You may provide a written debriefing, however many students grab the paper and leave, never reading it. If you choose not to provide a written debriefing, you may verbally explain the purpose of your study, and be available for questions. [If RAs are debriefing, it is recommended to have a written guideline for them.] Remember your audience; debrief your participants so that it's clear and understandable. 4. Issue your participants credit for participating within 24 hours of the experiment. ***OTHER LOGISTICS*** Students who sign up for your experiment will receive a confirmation email via Sona Systems of their appointment when they sign up, plus a reminder email the evening before the experiment. MINORS & NNSs Very few studies are available for minors and non-native English speakers. If your study can accommodate these groups, remember to advertise it in your description. This will substantially increase your response. Note the following Policy established by CORIHS to take effect Spring 1999: A) No high school students taking Introductory Psychology may participate in experiments utilizing the subject pool population, unless prior approval for use of this scientific subject population is granted by CORIHS for a given experiment. Parental consent and subject assent will be required. b) Introductory Psychology college students who are under the age of 18 may participate in studies that are specifically approved for use of minors. Further, unless waiver of parental consent has been requested by the PI, and granted by CORIHS, consent of the parent of the minor subject will need to be attained. Regardless of whether or not such a waiver is granted, assent of the minor subject will be required in all cases. SOLICIT SUBJECTS ONLY VIA SONA SYSTEMS: Do not go to Psychology classes to solicit or test subjects recruit Subject Pool subjects only through Sona Systems. You cannot promise money in addition to the experimental credit that the participants will receive (its either or). TAs and Instructors are not permitted to instruct their students to participate in their own studies for extra credit or otherwise. Students must always have a variety of experiments to choose from. SIGN UP DEADLINE SETTING - So subjects can't sign up at the last minute, make sure you set the Sign Up Deadline in your experiment. If you set a deadline time of "2 hours", 2 hours before the appointment, the slots that still aren't taken will disappear from the schedule. CANCELLING SUBJECTS PROPERLY If you must cancel a session, you cannot just remove the PARTICIPANT. If you do, his/her slot bounces back into open appointments in the public schedule (and someone may sign up for it). Make sure you also take that appointment out of view so no one else signs up for it. (*Canceling subjects last-minute should be kept to a minimum! Investigators who cancel subjects regularly will have Subject Pool access revoked.) Have a good semester!
